Delegate FAQs

I can’t log in to make my booking – what do I do?

You will first need to create an account, which you can do as follows:

  1. Click here to register for an account
  2. Enter all details and click ‘Register’
  3. You will be sent an authorisation code via email – follow the instructions in the email to finish setting up your account. Don’t forget to check your junk mail, the email can sometimes get sent there.
What time do Conference sessions start and when does the Trade Show open?

The full programme is available here. Make sure you download the Conference mobile app to view the programme quickly and easily during the event (printed copies will not be available).

How do I download the Conference app?

You can download the app from Google Play or the App Store. Log in with the email address you used to register for the event.

How do I book the social events?

Bookings for the Awards Dinner are now closed. Please email to be added to the waiting list and we will be in touch if any space becomes available.

What if I have special dietary requirements?

All dietary requirements will be catered for, as provided to us at the time of booking.

Please note catering details for the full event have now been confirmed, and we cannot guarantee that we will be able to accommodate specific dietary requirements for new bookings. If you have any specific dietary requirements or allergies, please email with details.

What’s included in my delegate ticket?

All your daytime catering and refreshments are included, along with access to all four Conference stages and the Trade Show.

If you have booked for the Trade Show Only, you have access to the Trade Show and Showcase stage ONLY. No catering is included with this ticket.

When will I receive my delegate badge?

Badges will be available at the registration desk upon arrival. Please ensure you have checked your details are correct on Swapcard, our digital Conference platform, as these will be used on your badge.

Where can I view the Trade Show floor plan?

You can view the floor plan here and also on the Conference app.

Will any transport be provided?

Cultural Enterprises is providing a free shuttle bus service running on a continuous loop between Newport Train Station and ICC Wales, and between the following key hotel pick-up points and ICC Wales:

  • Ty Magor
  • Coldra Court
  • Premier Inn
  • Holiday Inn

Routes and times will be:

Wednesday 13 March

08:00 to midday: Newport train station to ICC Wales
08:15 to 10:00: Hotels to ICC Wales
18:00 to 22:30: ICC Wales to hotels

 Thursday 14 March

08:15 to 10:00: Newport train station to ICC Wales
08:00 to 10:00: Hotels to ICC Wales
17:30 to 19:00: ICC Wales to hotels / hotels to ICC Wales
17:30 to 18:30: ICC Wales to Newport train station
23:00 to 00:15: ICC Wales to hotels

Will charging points be available?

Yes charging points will be available at the venue.

Will water stations be available?

Yes – there are two water stations located in the public areas of the ICC, very close to the Trade Show and our Conference stages. Please ask a member of the team for directions. Please remember to bring a water bottle with you, to reduce plastic waste.

Is parking available at the ICC?

Yes – if you are driving it is advisable to pre-book your parking here for the lowest price.

Can I use cash at the ICC?

No – please note ICC is a card only venue and does not accept cash.

Is there a cloakroom at the ICC?

Yes there is a free cloakroom located in the main foyer.

Is there somewhere I can go for some quiet space?

There will be a designated Quiet Zone within the Trade Show Hall, for anyone needing a few moments of calm and reflection. Please ask a member of the team to direct you.

What is the cancellation policy?

You can cancel with a full refund of delegate fees (excluding Awards Dinner costs) up to 15 business days ahead of the Conference. Any cancellations received after that date will be liable for the full fee. All cancellations must be sent in writing to
