You are an experienced and highly organised project coordinator with a background in digitisation, museum documentation, or collections management. You bring strong communication skills and the ability to work collaboratively with a wide range of stakeholders, from museum professionals to freelance photographers.
You are confident managing multiple workflows and coordinating logistics across dispersed teams, and you have experience leading or supporting colleagues in a supervisory capacity. You take a methodical approach to data handling and file management, with a keen eye for detail and a commitment to maintaining high standards. You are comfortable using digitisation equipment, such as portable scanners, and have a practical understanding of museum collections and their care.

Responsibilities
– Coordinate the overall digitisation programme, working with 40 participating non-National Welsh museums and overseeing the division of work between two Digitisation Coordinators and several freelance photographers
– Line manage two Digitisation Coordinators, supporting them in their work across different regions of Wales
– Act as the main point of contact for participating collections and photographers in your area, scheduling photography sessions (typically 1.5 days per collection) and ensuring smooth planning and delivery
– Liaise with collections to agree shoot lists, logistics, and locations, and communicate these clearly to the photographers
– Work with the collection on an object data spreadsheet, establishing if the record is already on Art UK or part of the Museum Data Service workflows for the artworks to be photographed or scanned
– Use portable scanning equipment to digitise small-scale works on paper (up to A3 size) during photography sessions
– Accompany photographers on shoots, providing practical and logistical support as needed
– Receive and review images from photographers, ensuring accurate file naming and alignment with the object data spreadsheet
– Coordinate the transfer of image and data files to the Art UK Digital Assets team, following agreed processes and quality standards
– Champion best practice in data handling, digital file management, and documentation throughout the project
Necessary Skills
– Essential: Experience coordinating projects involving data and digital imagery, ideally within a collections or cultural heritage context
– Essential: Experience working directly with museum or gallery collections, including handling and documentation
– Essential: Practical experience using scanning equipment for digitisation, particularly for works on paper
– Essential: Experience coordinating or supervising team members, freelancers, or volunteers
– Essential: First-class written and spoken communication skills, with the ability to engage and work effectively with a wide range of people
– Essential: High level of attention to detail
– Essential: Excellent IT skills (including Microsoft Office)
– Essential: Self-motivated and reliable, with a clear focus on reaching deadlines on time
– Essential: Ability to multi-task and prioritise your own workload
– Essential: Ability to work independently and as part of a team
– Desirable: Understanding of digital image workflows, including file naming conventions, metadata, and quality control processes
– Desirable: Active interest in the visual arts and museums
